PDFelement Pro: preview 1 of 4

If you already use a basic PDF viewer for reading documents, you know the frustration when you need to edit a scanned contract or fill out a form that won't let you type. PDFelement Pro takes the next step: it turns a static PDF reader into a tool that can actually change the document. For someone new to the software, the first thing to try is the OCR feature — open a scanned document, click the OCR button, and watch the text become selectable and searchable. It recognizes 29 languages, so even multilingual invoices work.

After that, try the batch processing tool. If you have a folder of PDFs that all need the same stamp, watermark, or page numbering, you can apply it to all of them at once. The PDF/A export option is worth checking too if you archive documents and need a format that won't change over time.

The built-in AI tools for summarizing or translating are handy for long reports, but the core strength is editing text and images directly on the page. You can also sign documents without printing them. Start with OCR and batch tools — those two will save you the most time right away.

Drag-and-drop PDFs from Finder

PDFelement Pro works well alongside the tools you already have open. You can drag a PDF from Finder straight into the window, or right-click a file in Finder and choose Open With to launch it directly. The app respects macOS services too — if you select text in a PDF and right-click, you'll see standard macOS options like Look Up or Share, which let you send a selection to Mail, Notes, or Messages without leaving your workflow.

For anyone who uses Automator or Shortcuts, PDFelement Pro can be a target for simple document actions. You can set up a folder action that runs a batch conversion when new PDFs appear, or use the command-line tools that ship with the app to script repetitive tasks. The app also integrates with the macOS print dialog: instead of printing to paper, you can choose "Save as PDF" from any app, then open that result in PDFelement Pro for further edits, redactions, or signing.

If you work with cloud storage, PDFelement Pro opens files directly from iCloud Drive, Dropbox, or Google Drive if they're mounted on your Mac. You don't need to download and re-upload — just browse to the file location and open it. This saves a step when you're reviewing documents that live in shared folders.

Translate scanned contracts into bilingual PDFs

Consider a translator who receives scanned contracts in PDF form. The client sends a signed agreement as a scan, and the translator needs to extract the text, translate it, and return a bilingual version. With PDFelement Pro, the workflow starts with OCR: open the scan, run text recognition, and copy the text into a translation tool. Once the translation is ready, the translator can create a new PDF with the original layout by pasting the translated text into the same positions. The AI summarization tool helps shorten long legal clauses before translation, and the built-in translate feature handles quick lookups without switching apps. The final document can be signed digitally and sent back as a single PDF — no paper, no printing.

Set PDF/A as default save format for archiving

Before you start your first real project, open Preferences from the PDFelement Pro menu and adjust these settings:

  • General > Default save format — set it to PDF/A if you archive documents, or keep it as standard PDF if you share files with others who might not open PDF/A correctly.
  • OCR > Recognition language — select the languages you work with most. If you regularly process invoices in English and German, enable both. The app remembers this for future sessions.
  • Security > Default password options — if you often send signed documents, set a default encryption level here so you don't have to choose it every time.
  • Display > Show hidden toolbar buttons — turn this on if you want quick access to redaction or Bates numbering without digging through menus.

Workflow: prepare a contract for signing

This walkthrough covers a typical task — preparing a PDF contract that needs fields filled, text corrected, and a signature added.

  1. Open the contract PDF in PDFelement Pro. If it's a scan, run OCR from the toolbar first. Wait for the text recognition to finish.
  2. Use the Edit tool to correct any misspellings or update dates. Click directly on the text you want to change and type. The font and size stay close to the original.
  3. If the contract has blank fields for names or dates, use the Form tool to add a text field. Draw a box where the field should go, then set the font and alignment. You can also add checkboxes or radio buttons if the contract requires selections.
  4. Review the document for any sensitive information — client names, bank details, or confidential clauses. Use the Redact tool to black out those sections permanently. The redacted area cannot be undone once saved.
  5. Apply a digital signature. If you have a saved signature image, import it. Otherwise, draw or type your signature using the Sign tool. Position it in the signature block.
  6. Save the document. If the contract will be archived, choose File > Export > PDF/A. For everyday sharing, save as standard PDF. The file is ready to send.

This whole process takes a few minutes once you're familiar with the tools. The key is to run OCR first if the document started as a scan — everything else depends on having selectable text.

Installation steps

  1. Mount the disk image and run Open Gatekeeper friendly.
  2. Press Enter in Terminal to bypass Gatekeeper.
  3. Drag the app to the Applications folder.
  4. Open the app from Applications when it is ready.
